A mid-sized professional services firm—specializing in management consulting—had built a strong reputation for delivering high-quality strategic advice. Our Approach

MS&VG began with a comprehensive workflow audit, mapping every step from lead intake to final invoice. We identified three high-impact areas: client onboarding, time tracking, and billing reconciliation. Rather than replace existing systems, we designed AI layers to integrate seamlessly with their CRM and ERP platforms.

First, we deployed a natural language processing (NLP) engine that automatically extracted key data from incoming contracts, engagement letters, and emails—such as client name, project scope, start dates, and fee structures—and populated the CRM fields instantly. This reduced onboarding from weeks to days. Next, we introduced an AI-driven time capture tool: employees could verbally describe their tasks to a Slack-based bot, which used machine learning to categorize and log hours with 95% accuracy. Finally, we built a reconciliation AI that cross-referenced time logs, billing rates, and contract terms to generate error-free invoices. The system sent alerts for any anomalies before invoices were issued, and it learned from corrections over time.
